Users who you have added to your Contact list are considered Contacts. In the
File->Preferences->Contact Approval menu, you can choose to accept incoming messages from Contacts only.
When another user wants to add you to their Contact List, you will get an authorization request pop-up box. If you accept the request, the user will be authorized to contact you. If you decline the request, the user will not be authorized to contact you. There is also an Ignore button in the box. If you ignore the request, any further messages from this person will be blocked.
If you block someone on TradeManager, they will no longer be able to contact you and you won't be able to contact them. You will always appear offline to blocked members. You can edit the list of blocked members under the File->Preferences->Block List. You can also block somebody during a conversation by clicking the Ignore button or, choose the contact and click menu Contacts ->Manage Contact List -> Block This Contact.
If you want to add a contact, simply click Add a Contact from the Contacts menu and enter the contact's Member ID.
To permanently delete the contact, click Delete from Contact List.
To move a contact to another group:
To manage your groups, simply choose one of the following options from the right-click menu:
Note: you are required to remove all contacts in a group before deleting a group.
Right click on a contact in your Contact List and select Edit Contact Details. In the pop-up box, select how you want this person to appear in your Contact List.
l Chat with a contact:
To chat with a contact, double click on a contact in your Contact List. A pop-up box will appear. Enter your message and click Send. The message will be sent instantly to your contact.
l Send a message to a group
Right click on a group in your Contact List
Select Send a Message to this Group
Enter your message in the box
Click Send and all the contacts in the group will receive your message
l Quick Messages
The Quick Message function makes it easier to repeat standard greetings. When you start talking to a contact, click Quick Message in the chat box and select the a message from the pre-set options. 
l Offline Messages
If somebody sends you a message when you are offline from TradeManager, there will be a pop-up window indicating there is a message waiting. In the Tools section, click View Offline Messages to view the message(s).
l Read Receipt
To confirm the receiver has received your message, you can check the Request Read Receipt option prior to
sending the message. The receiver can choose to send you a receipt or not. These messages will be saved
under the sender's name in the All Messages section.
Select menu Tools-> Invite to Conference
Select participants from your Contact List
Click the Invite button
After participants accept your invitation, they will be added to the conference
If you are already in an active conference and would like to add additional participants, click "Invite More" and select the person you want to add to the conference from your contact list. You can also right click on a contact from your Contact List and choose "Invite to Conference"
Remember that the host of the conference (the person who started it) is the only person who can add new participants.
Your Message Center Inbox can hold unlimited messages. Messages from the last 90 days are listed in your Inbox, while all prior messages are stored chronologically and can be accessed by using the drop-down menu on the tool-bar. Inquiries and Quotations older than 12 months will be automatically deleted.
Buyers and suppliers usually require a product photo and/or a price list. With TradeManager, sending these items is easy:
Click on the contact to open a chat box
Click Send File and select a file
Click Send
The maximum file size is 100 MB.
All of your communication history will be saved in the All Messages section of your TradeManager. You can view your history by clicking Recent Messages in the chat box. Click View Message History and you will see communication histories with all contacts and non-contacts, as well as file transfer records.
You can choose to delete older histories by entering the number of desired days in the following menu: File->Preferences->All Messages.
In the chat box, you can view the contact's name, company and their membership type. Click the company name to view their Company Profile on Alibaba.com.
In the left of the chat box beside the Card Tag, there is a Showroom Tag. Click it to view the contact's products.
If you have not used your computer for a while, TradeManager's status will automatically change to Idle. If a contact sends you a message, TradeManager will send an auto reply indicating your status. Go to menu File->Preferences->Auto Reply to customize your auto reply messages.
